THE MISSION: We're looking for an experienced and hands-on HR Operations Senior Manager to own the full spectrum of HR ops — from payroll and immigration to equity reporting and employer-of-record arrangements. You'll lead a team of 3, and play a central role in our ongoing global HR transformation with ADP as our external payroll partner. This is a high-impact role for someone who thrives in a fast-moving environment, loves building rigorous processes, and isn't afraid to roll up their sleeves. Key responsibilities include : PAYROLL MANAGEMENT & COMPLIANCE ● Lead end-to-end payroll operations for all Group entities — accurate, on time, every time. ● Audit and analyse current payroll and admin processes; propose and implement improvements. ● Drive testing and deployment of payroll system upgrades in the context of our global ADP implementation. ● Oversee variable pay elements (EVP), including monthly, quarterly, semi-annual commission models and annual variable payouts. ● Manage mandatory social declarations (DSN), including training contributions, Agefiph, and Equity Stock Options. ● Lead annual mandatory social declarations and keep contribution rates up to date. HR ADMINISTRATION & PEOPLE OPS ● Ensure accurate and timely processing of new hires, transfers, salary changes, leaves, and terminations in the HRIS. ● Collaborate with Talent Acquisition and HRBPs to guarantee seamless employee lifecycle management. ● Manage leave requests and ensure policy compliance across the HRIS. ● Distribute internal payroll reports on a scheduled basis; prepare data for external audits, finance, and the broader People team. ● Support operational teams and management on all topics within the HR Ops scope. IMMIGRATION & INTERNATIONAL MOBILITY ● Manage visa applications, work permits, and work authorization for international hires and transfers. ● Navigate multiple jurisdictions under strict legal deadlines — with precision and no surprises. EMPLOYER OF RECORD (EOR) ● Structure and oversee EOR arrangements in countries where we don't have a local entity. ● Handle contract setup, local payroll coordination, and third-party provider management end to end. APPRENTICESHIPS, INTERNSHIPS & OPCO ● Administer apprenticeship and internship contracts: pay scales, amendments, funding, and OPCO relations. ● Liaise with partner institutions and ensure compliance with all related obligations. EQUITY & MANDATORY REPORTING ● Handle tax and declarative aspects of employee shareholding (free shares, stock options, BSPCEs). ● Lead mandatory reporting obligations including INSEE surveys and BDESE contributions. WHAT WE’RE LOOKING FOR : EXPERIENCE - 7+ years of experience in HR Operations, Payroll, or People Ops — ideally in a fast-scaling tech or international environment. - Proven track record managing payroll for a multi-entity group, including variable pay structures. - Experience with HR system implementations or migrations (ADP experience a strong plus). - Prior team management experience — you know how to develop people while keeping operations tight. - Hands-on experience with immigration processes and/or EOR management. SKILLS & KNOWLEDGE - Deep knowledge of French labor law, social declarations (DSN), and payroll compliance. - Comfortable working across jurisdictions and adapting to different local requirements. - Strong analytical mindset — you spot errors before they become problems. - Fluent in French and English (written and spoken) — both are used daily. - Proficient with HRIS platforms and payroll tools; Excel/Sheets skills to back it up. SOFT SKILLS & MINDSET - You're a builder: you don't just manage processes, you improve them. - Detail-oriented without losing sight of the bigger picture. - Calm under pressure, especially around payroll close and regulatory deadlines. - A natural collaborator — you work seamlessly with Finance, Legal, HRBPs, and business leaders. - Direct, clear communicator who brings structure to complex topics.
